One system, not five subscriptions held together with tape.
A chatbot here, a booking plug-in there, automations in between and a spreadsheet to tie it together. It works until one piece changes. Lagoona's AI team, dashboards and IT monitoring were built as one system from day one.
Why businesses move off the patchwork
A patchwork of tools
- A login for every tool, and passwords shared to get by
- Customer details copied into four or five places
- Automations that stop quietly when one tool changes
- A report per tool, and no picture of the whole business
- Leavers who still have access somewhere
- Every supplier blames another one
Lagoona
- One sign-in for the agents, the dashboards and Reef
- One place your data lives, in the EU, encrypted
- Built and tested together, before every update
- One dashboard per job, plus an Exec view of everything
- Remove someone once, and they're out everywhere
- One team to call, already watching its own systems 24/7
What sets Lagoona apart
What you get with Lagoona
- Five AI team members, each with its own job. Customer service (Pearl), sales and bookings (Marina), saving money for finance and execs (Coral), admin and HR (Manta), and operations and forecasting (Horizon).
- Rock: all five as one team. The full team working together and sharing what it knows, for less than the five separately.
- Ready today. Every team member is ready the day you sign up. You (or your IT partner) connect your own systems with self-setup connectors: bookings, documents, till and rota figures, email forwarding and IT.
- Forecasting built in. Early warnings for each site (short-staffed days, stock running out) and forecasts 14 days ahead that check their own accuracy.
- Reef: far more than uptime. Watches your website, hosting, settings, storage and backups, logs and code, and checks security, privacy and running costs. It puts the most urgent problems first, with the cause and the fix in plain English.
- One system, built together. Every part runs on the same infrastructure and was built to work with the others: one sign-in, one set of roles, one place for your data. No plug-ins, automation tools or tie-ins between them, and no long contract.
- Built for every size. Single sites, chains with regions and locations, and IT partners who resell it under their own brand.
- Proof, not promises. Each team member has a dashboard showing what it did and what it found, so you can see it paying for itself.
- Licence it or own it. Pay monthly with running costs included, or buy a team member outright with the source code for your own business.
- Honest by design. Every agent tells people it's AI, answers only from your information, and sends nothing without your OK where it acts for you.
Side by side
| What matters | Lagoona | A patchwork of tools |
|---|---|---|
| Logins | One Lagoona account, with roles: owner, manager, viewer | One per tool, each with its own users and settings |
| Who sees what | Each person sees their own part. Your IT partner sees your data only when you allow it. Finance documents only for your managers and execs | Set separately in each tool, if the tool allows it at all |
| When someone leaves | Removed once, signed out of everything straight away | Removed tool by tool, hoping none were missed |
| Your data | Stored in one place in the EU. Bookings, documents, figures and emails encrypted. A named list of providers on our privacy page | Copied into every tool, each with its own storage, location and privacy policy |
| When something changes | Built and tested together: over 750 automated checks run before every update | Each tool updates on its own timetable. Links between them break without warning |
| Seeing the whole business | One dashboard per job (questions missed, customers turned away, money found, time saved, early warnings) plus an Exec view | A separate report in each tool, joined up by hand, if at all |
| AI you can trust | Every agent says it's AI, answers only from your information, and sends nothing without a person's OK where it acts for you | Depends on each tool's settings |
| Getting started | Ready the same day. Connect your own systems with self-setup tools, at your own pace | Set up and connect each tool, then build the links between them |
| Price | One monthly price per job, running costs included up to a limit. All five jobs together (Rock) cost less than five separately | Several subscriptions, plus an automation tool, plus the time to keep it all working |
"A patchwork of tools" describes a typical mix of separate chatbot, booking, automation, spreadsheet and reporting tools. Your own mix may differ.
Keep what works
One system doesn't mean replacing everything. Your booking system, till, rota app and email stay. Lagoona connects to them with standard connectors you control:
| You already use | Lagoona connects with |
|---|---|
| A booking system (ResDiary, OpenTable, SevenRooms, your own) | The booking connector, or simply your booking link |
| A till, rota app or stock sheet | A CSV upload, or figures sent daily to Horizon's signed address |
| Gmail or Outlook | A forwarding rule to your Manta address |
| Your website and IT systems | Reef's What to watch page, with read-only keys |
Questions
Do I have to replace my booking system or till?
No. Lagoona works alongside them. You keep the systems you rely on; what can go are the plug-ins and automations stitched between them.
Can I start with one team member?
Yes. Start with one, such as Pearl (answering customers) or Reef (watching your tech), and add more when its dashboard shows it's paying for itself.
Is it really one system? Doesn't it use other companies?
It's one system that we build, run and test as a whole. Like any online service, it runs on a few established providers for hosting, the AI model and email. Every one is named on our privacy page, with what it does and where. There are no advertising or tracking companies on that list.
We already have a chatbot. Why switch?
Try ours side by side on this site and judge the answers. The bigger difference is everything around it: bookings, documents, admin, early warnings and IT monitoring, sharing one sign-in and one set of dashboards.
We're an MSP. Can we offer this to our clients?
Yes, under your own brand, with partner discounts. See partner pricing.
